Customer relationships

Customers who come back and prescribers who know the pharmacy.

Cashback and refill reminders for long-term formulas, with each customer’s consent, and organized visits to prescribers. Paula, an AI agent, applies the rules and prepares the routes; the person accountable for sales approves, and the pharmacist assesses each refill.

Where do things stand with M. S.?

Paula Rezende
Paula RezendeAI agent

On her 09/18 purchase, the sunscreen earned R$ 3.00 in cashback; the formula did not, because medicines are excluded from the program. The formula, 60 capsules taken 1 a day, runs out around 11/16. M. S. agreed to refill reminders on WhatsApp, and I scheduled one for 11/09, without the formula’s name. She has not opted in to offers, so she does not receive campaigns. If she asks for a refill, the order goes to the pharmacist for assessment.

Loyalty and cashback

Cashback at the register, with rules the pharmacy approves.

The person accountable for sales sets the percentage, the expiration period and the participating products. Paula applies the rules to each sale, and the customer uses the balance at the register.

Customers join the program with their CPF and recorded consent

Medicines, whether manufactured or compounded, do not earn cashback and cannot be paid for with the balance, as Anvisa requires, and the program rules tell the customer so

The balance comes from an invoiced sale and is valid for the period the pharmacy has set

The customer sees the statement: what they earned, what they used and what is about to expire

A canceled sale reverses the cashback it earned, and the original entry stays on the statement

Refills and campaigns

Every message with the customer’s permission.

Refill reminder

For long-term formulas, Paula calculates the expected end from the quantity and the dosage instructions and schedules the reminder a few days before. The message, reviewed by the responsible pharmacist, does not include the formula’s name, price or any offer.

Refills go through the pharmacist

The customer asks in the chat or through the online store, and the pharmacist assesses the prescription again. If it does not state the length of treatment, the pharmacist confirms with the prescriber before repeating the formula. Formulas with a controlled substance need a new prescription.

Campaigns

The person accountable for sales approves each campaign, and the responsible pharmacist reviews the copy. Compounded formulas and prescription-only medicines are not advertised to the public.

Consent by purpose

Refill reminders and offers are separate permissions, recorded with the date and channel. The customer can withdraw permission at any time, and Paula stops sending.

Prescribers

Prescriber visits, with a route and a summary.

Each prescriber has a single record, with their professional council (such as CRM, CRO, CRMV or CRN), registration number, state and specialty. The ranking shows how many prescriptions the pharmacy has received from each one, and Paula uses these numbers to build the route for the pharmacy’s representatives.

Technical material with only substance names and referenced indications, with no prices or brand names

No gifts, perks or prescription pads with the pharmacy’s brand for the prescriber

The representative sees the prescriber’s numbers, never patient data

What stays with people

Paula prepares. People approve, assess and visit.

01

Approve the program and campaigns

The person accountable for sales approves the cashback rules, each campaign and each discount, and the responsible pharmacist reviews anything that mentions health. Paula does not create offers.

02

Assess the refill

The reminder only says the formula is running out. The refill order is assessed by the pharmacist, just like the first time.

03

Approve the route and make the visit

The person accountable for sales approves the route, and the representative makes the visit and records the summary. The pharmacy offers no gifts or perks to prescribers.

Questions about customer relationships.

No. Under Anvisa rules, medicines, whether manufactured or compounded, cannot earn points or be redeemed, raffled or given as prizes in a loyalty program. They are excluded, and the rules tell the customer so. Other products are included as the pharmacy decides.
Under the LGPD, consent applies to specific purposes, so refill reminders and offers are separate permissions. Consent is recorded with the date and channel, and the customer can withdraw it at any time.
No. It only lets the customer know the formula is nearing its expected end. The order goes through the pharmacist, who confirms with the prescriber when the prescription does not state the length of treatment.
No. Anvisa does not allow compounded formulas to be shown to the public as advertising, and prescription medicines can only be advertised to those who prescribe or dispense them. The responsible pharmacist reviews every campaign.
For planning sales reps’ visits. The pharmacy cannot give gifts or perks to prescribers, and VUpharma does not calculate commissions per prescription. Reps do not see patient data.
