Much of the day in a compounding pharmacy goes to work that demands care but not the pharmacist’s judgment: transcribing the prescription, doing the math with the lot factor, recording controlled substances, putting the invoice together. That is where VUpharma’s AI agents come in.
In every module, the agent prepares and the person accountable for the area checks and confirms. Here is what each group does and where the limits are.
Sixteen agents in four groups
Each agent has its own role and uses the same screens and validations as your team, with the areas and branches of the person making the request. If you do not have access to a branch’s inventory, neither does the agent.
- Bench and inventory, six agents. Helena on the catalog, André on lots and purchasing, Beatriz on quality, Otávio on homeopathy, Marcos on compounding and Lívia on controlled substances.
- Counter and prescriptions, four. Clara on customer service and the online store, Iris on prescriptions, Paula on relationships with customers and prescribers, Henrique on the drugstore and corporate agreements.
- Management, three. Leonardo on finance, Vitória on tax and Davi on dashboards.
- Implementation and support, three. Caio on branches and access, Renata on migration, Camila on support.
Four everyday examples
Iris: from a photo of the prescription to an entered order
The prescription arrives as a photo or PDF. Iris transcribes the prescriber, professional council registration, patient, components, doses, dosage form and dosage instructions. Then she compares each dose with the pharmacopeia reference ranges the pharmacy itself has entered.
One example: vitamin D3 2,000 IU and magnesium chelate 200 mg per capsule, 60 capsules, one a day. The doses are within range, the components are in the catalog, and the order waits for the pharmacist. An illegible passage is flagged, not filled in, and the prescription image stays attached.
The dose alert is a starting point, not a conclusion. The pharmacist is the one who assesses the prescription, including the doses. See how it works in prescriptions.
Marcos: the calculation with the lot factors
Once the order is entered, Marcos calculates each component with the correction factor, equivalence and density of the product and of the lot that will be used. He chooses the capsule and packaging by the pharmacy’s rules and prepares the compounding order, the weighing sheet and the label.
With illustrative values: if the magnesium lot has a factor of 1.05, the 200 mg on the prescription becomes 210 mg per capsule. When a factor is missing, the calculation is rejected and Marcos shows what is missing; the system never assumes a factor of 1. The order only goes to the bench after the pharmacist approves it. More in compounding.
Lívia: controlled-substance record-keeping
For Portaria 344/98 substances, Lívia records each inflow and outflow with the lot and the prescription, prepares the period’s registers and balance reports, and prepares the file for SNGPC (Anvisa’s controlled-substance reporting system). Before submission, she points out anything that blocks transmission, such as an outflow without a prescription or a balance that differs from inventory.
RDC 22/2014 makes the responsible pharmacist accountable for the record-keeping. The responsible pharmacist may delegate data entry, under their own responsibility, but generating and submitting the files to SNGPC is their role. That is why the file only goes out with their confirmation. Transmission became mandatory again, region by region, between September 2025 and January 2026. See controlled substances and SNGPC.
Vitória: the invoice for each order
Vitória prepares the NF-e, NFC-e or NFS-e for each order with the tax classification the accountant set for each product, with the IBS and CBS fields from Brazil’s tax reform already in place. She flags any product without a classification before billing and, at month-end, generates the SPED files.
The invoice is only issued when the team bills the order, and the accountant checks the tax calculation and submits the SPED files. Details in tax.
What no agent does
Some limits do not depend on configuration. The first three are acts that the regulations assign to the pharmacist.
- Assessing the prescription. RDC 67/2007 states that the pharmacist is responsible for compounding, including the assessment of prescriptions, and that this assessment takes place before compounding begins.
- Approving the preparation. Under the same resolution, the pharmacist is the one who assesses the control results and approves, or does not approve, the preparation for dispensing.
- Counseling the patient. Lei 13.021/2014 lists providing pharmaceutical counseling to the patient among the pharmacist’s duties. The agents serve customers, schedule appointments and keep records. Questions about health, effects or what to do go to the pharmacist.
- Releasing a lot, granting access or approving a payment. Lot release follows the policy the pharmacy set in the category, under the responsible pharmacist’s responsibility. Access is the pharmacy owner’s decision, and each payment waits for approval from the person accountable for finance.
The AI agents are not registered with the CRF (Regional Pharmacy Council) and do not replace the responsible pharmacist.
Rejected before saving, confirmed before it counts
Whatever falls outside the rules the pharmacy has declared is rejected before saving, whether it comes from a screen, an import or an agent: an inconsistent record, a conversion without a factor, a transaction without a branch.
And nothing the agent prepares takes effect without confirmation from someone on the team. If something goes wrong later, the posted entry is not erased: it is reversed and replaced, and the original stays in the ledger.
The prescription contains health data, which the LGPD (Brazil’s General Data Protection Law) classifies as sensitive personal data. The image and the transcription stay on the order, visible only to users with access to the area.
In the consultation room, the KDoctor agents
The pharmacist consultation room works with KDoctor’s AI agents, integrated with the pharmacy’s patient record. Jennifer handles scheduling and reminders. Dr. Rafael Costa structures the record of each consultation from the pharmacist’s account.
For the certified pharmacist, the KDoctor Chinese medicine team supports herbal medicine, acupuncture and dietary guidance, and the approved formula goes on to compounding. The consultation, the assessment and the course of action remain with the pharmacist. See the consultation room.
Where to start
Renata oversees the implementation: we migrate all the pharmacy’s data at no cost, and you review it before going live. Meet each of the agents or see, in a demo, a prescription become an order with the dose check and the pharmacist’s approval.
